Frequently Asked Questions
Can DMS handle scanned paper documents as well as digital files?
Yes. DMS accepts documents from scanners (flatbed, ADF, MFP scanners via network) and runs OCR so scanned documents are full-text searchable. Mixed digital and scanned workflows are common.
Is DMS on-premises, cloud, or both?
On-premises is the default for clients with data residency concerns. We also offer dedicated cloud deployments on AWS, Azure, or Contabo infrastructure.
How does DMS handle permissions and confidentiality?
Role-based access control at the document, folder, and action level. You decide who can see, edit, download, print, or share each document type. Full audit trail of who did what and when.
Can DMS integrate with our existing email, ERP, or case management system?
Yes. Email ingest (send documents as email attachments to DMS) is standard. ERP and line-of-business integrations via REST APIs are common custom work.
How long does it take to implement DMS?
A focused departmental rollout typically takes 4-8 weeks including document-type setup, workflow configuration, user training, and initial migration. Organisation-wide rollouts are done in phases, usually 3-6 months end to end.
What about existing documents — do we have to re-enter them?
No. We migrate existing documents in bulk from network drives, file shares, or other document systems. Metadata is captured either by filename parsing or OCR-assisted extraction.
Do you offer ongoing support after deployment?
Yes. Maintenance contracts cover software updates, security patches, user support, backups, and a bucket of enhancement hours per month for new workflows or document types.
